Receipt management for clubs and associations

In a club everyone buys a bit of something, and in the end the treasurer is left with an envelope full of slips. With belegbuddy the receipts go where they belong the moment they are created.

Everyone sends, one person keeps track

The club gets its own receipt box with its own email address. Members forward invoices there, photograph the receipt from the summer fête or send it via WhatsApp. You decide in the settings which senders may submit by email.

Roles that match how clubs work

Roles are available from the Business plan. Members who only submit receipts get “capture-only”. The treasurer works with “bookkeeping”, and the auditors get “read-only”, so they can see everything without changing anything. Business includes five users per receipt box, Business Pro thirty.

Grants, sections, projects

If a grant-funded project has to be accounted for separately, create a separate receipt box for it. Receipts that ended up in the wrong box can be moved with two clicks.

A template for clubs

During setup you can start from a ready-made category list for clubs and adjust it as you like. At the end of the year you export the bookings for the treasurer’s report as Excel, or give the auditors all receipts as one PDF with a stamp on each page.

Data protection

Receipts often contain members’ names and addresses. Everything is stored on servers in Germany, and the club decides whether the AI reads along and with which model. Details in the privacy policy.
